These Terms & Conditions explain how our Forest School holiday club operates and what families can expect when booking with us. By making a booking, you agree to the terms set out below. We aim to keep everything clear, fair, and transparent so that children can enjoy a safe, happy time in the woods.

1. Bookings & Payment

• All bookings must be made through our online booking system.

• Full payment is required at the time of booking unless otherwise stated.

• Your child’s place is confirmed once payment has been received.

• We reserve the right to cancel a booking if payment is not completed.

 

2. Cancellations & Refunds

• If you need to cancel, please let us know as soon as possible.

• Cancellations made 7 days or more before the session will receive a full refund.

• Cancellations made within 7 days of the session are non‑refundable, as staffing and resources will already have been arranged.

• If we need to cancel due to severe weather, staff illness, or unforeseen circumstances, you will be offered a full refund or the option to transfer to another date.

 

3. Weather & Outdoor Conditions

Forest School sessions run in most weather, including rain and cold. We will only cancel if conditions are unsafe (e.g., high winds, storms, extreme temperatures).

Parents are responsible for ensuring children arrive with:

• waterproofs

• warm layers

• sturdy footwear

• sun protection in hot weather

We cannot accept responsibility for clothing that becomes muddy, wet, or damaged during normal outdoor play.

 

4. Health, Safety & Behaviour

• All sessions are led by qualified Forest School practitioners with up‑to‑date DBS checks, first aid training, and safeguarding training.

• We follow Forest School Association guidance and our own risk assessments.

• Children must follow safety instructions, especially around tools, fire, and woodland boundaries.

• We reserve the right to end a session early for a child if behaviour poses a risk to themselves or others. No refund will be issued in these circumstances.

 

5. Medical Information & Additional Needs

• Parents must provide accurate medical, allergy, and additional needs information during booking.

• If your child requires medication (e.g., inhalers, EpiPens), these must be brought to the session and handed to staff.

• We will make reasonable adjustments to support children with additional needs, but we may not be able to safely accommodate every need in an outdoor environment. We will always discuss this with you sensitively.

 

6. Food & Dietary Requirements

• We provide a simple vegetarian lunch cooked over the fire.

• Please inform us of any allergies or dietary requirements at the time of booking.

• Children should bring a filled water bottle and any additional snacks they may need.

 

7. Drop‑off & Collection

• Children must be dropped off and collected by a responsible adult.

• Please arrive on time for both drop‑off and pick‑up.

• If you are delayed, please contact us as soon as possible.

 

8. Photography & Media

• We may take photographs during sessions for our website and social media.

• We will only use images of your child if you have given consent during the booking process.

• You can withdraw consent at any time by contacting us.

 

9. Personal Belongings

We cannot accept responsibility for loss or damage to personal items brought to the session, including clothing, toys, or electronic devices.

 

10. Liability

We take all reasonable steps to ensure the safety of children during Forest School activities. However, by booking, you acknowledge that outdoor play carries inherent risks such as uneven ground, weather conditions, and natural materials.

We are not liable for:

• accidental injuries that occur despite appropriate supervision

• damage to clothing or personal belongings

• cancellations caused by circumstances beyond our control

 

11. Changes to These Terms

We may update these Terms & Conditions from time to time. The version published on our website at the time of booking will apply to your session.
